Live engraving and embossing at your event

We bring the studio to your event, and we bring two machines, not one. A laser engraver and a foil press, running side by side. Guests choose an item, choose a finish, tell us what they want on it, watch it being made in front of them, and walk away with it in their hand. No claim tickets, no collecting it at the end of the night, no coming back later. That immediacy is the whole point. It is why people stay at the table, why they show the person next to them, and why the piece goes home instead of being left on a chair.

They can add a name, initials, a date, a short phrase, or choose from our library of 34 symbols including all twelve zodiac signs, linked hearts, an infinity mark, a paw print and a maple leaf.

We run these for conferences, brand activations, product launches, employee appreciation days, client events and weddings across the Greater Toronto Area.

Our packages

The Engraving Bar, service only

You supply the product. We supply everything else, including both machines.

For clients who already have branded merchandise, a sponsor's product, or their own sourced gift and just need it personalized live. Because we bring the laser and the press, we can take on a wider range of client-supplied materials than a single-process vendor, and we will tell you at the sample stage which process suits your item.

Booked in blocks of two or four hours, with additional hours available. One station, one operator.

What the service fee covers: the equipment, the operator, consumables, and setup and teardown on the day. Setup takes 60 to 90 minutes and is not counted against your booked hours.

Quoted separately: logo and artwork setup where we are applying your branding, and transportation. Transportation is included within 40km of Scarborough.

One condition on this package, and it is not negotiable. We need a sample of your item at least ten business days before the event so we can test it. Materials behave very differently under a laser, some coatings discolour, some plastics should not be engraved at all, and curved or uneven surfaces need a different setup. Testing in advance is how we avoid finding this out in front of your guests. If your item turns out not to be engravable, we will tell you honestly and suggest an alternative.

The Gifting Bar, product included

We supply the product and personalize it live.

The service fee as above, plus the cost of the pieces themselves. We work across three bands so there is a version of this that fits most budgets:

  • Essentials. Engraved keychains, leather key tags, pet tags, luggage tags. The keepsake most guests will actually keep on a set of keys.
  • Classic. Foil embossed leather goods, slate coasters, entry drinkware, passport covers and cardholders.
  • Premium. Built around your event rather than picked off a list. Tell us the theme, the palette, the audience and what you want people to feel when they pick it up, and we source and finish to match.

On Premium specifically. Where the product itself sits at the lower end, a sourcing and customization fee applies on top of the unit cost. Finding the right item, matching it to your brief, and preparing it for production takes the same work whether the piece is inexpensive or not. On higher-value items that work is carried in the unit price. Below a threshold we will tell you about up front, it is charged separately, so you are paying for the sourcing rather than having it buried in a marked-up item.

You pay for what is actually made, against an agreed maximum, so you are not buying 200 pieces to give away 90. We bring a buffer of roughly 15% above your expected count.

The Full Day, two stations

For conferences and high-traffic expo floors.

Two stations running in parallel, two operators, 6 to 8 hours. One laser, one press. Two stations means two queues, which matters more than raw speed because expo hall traffic arrives in bursts around session breaks rather than spreading evenly across the day. It also means guests choose their finish rather than being handed whichever one you booked, and that choice is a large part of why people stop at the table.

Quoted per event. Tell us the venue, the hours, the expected footfall and the product, and we will come back with a number.

Weddings and social events

Priced per guest, not per hour.

Weddings work differently from a trade show floor. You are not buying a three-hour window, you are buying a keepsake for everyone in the room. So we price it the way you actually think about it.

Your total is made up of three things: the pieces, event support, and transportation.

The pieces. Priced per guest, with the rate improving as your guest count rises. Minimum ten pieces per item. Anything in our range can go on the table, and on the leather pieces your guests choose their finish there and then, a gold or silver foil impression or a laser engraved mark. Same item, two entirely different looks.

Event support. Covers a second operator and a host working the queue at larger guest counts, so nobody waits and nobody is left standing without someone to talk to. Smaller weddings do not need it and are not charged for it.

Transportation. Included within 40km of Scarborough, quoted beyond that.

How much choice your guests get is yours to set. Two items in two colours keeps it simple and elegant. Four items in four colours turns the table into something people browse. Above a certain guest count we will build the selection around your palette and your story rather than a fixed list.

We quote this properly rather than off a price list, because a hundred-guest wedding wanting one beautiful keepsake and a two-hundred-guest wedding wanting a browsing table are different events. Tell us your date, your numbers and roughly what you have set aside for favours, and we will build something that fits it.

The single biggest thing that affects how many people you can serve

Whether we do all of the personalization live, or only part of it.

If every piece is fully produced at the table, each guest occupies the machine for the whole job. If we apply your logo in our studio in advance and only add each guest's name live, the cycle time roughly halves and output close to doubles. The guest still watches their name appear on it, which is the part that holds their attention, and you serve twice as many people.

For any event where you expect more than about 100 guests to want one, we will recommend the pre-branded approach. It costs a little more in studio time and it is almost always the right call.

We also cap live personalization at 12 characters per piece, and the exact limit is product-dependent because a luggage tag and a small pendant do not offer the same surface. Longer text is possible, it simply moves the queue more slowly, and we would rather protect the queue. We will confirm the limit for your chosen item when you book.

What we need from your venue

  • A table, 6ft minimum for one station, 8ft or two tables for the dual setup
  • One standard 110V/60Hz outlet within reach, 15A circuit
  • Roughly 10ft by 6ft of floor space including room for a small queue
  • Access to load in and out
  • If we are outdoors, a shaded position. Direct sun affects both the equipment and the guest experience, and it is not somewhere a queue will willingly stand.

Setup takes 60 to 90 minutes and we arrive at least an hour before your start time. Setup and teardown are not counted in your booked hours.

One thing to check early: ventilation. Laser engraving produces smoke and fine particulate. Our machine is a fully enclosed Class 1 unit with filtration, but some venues, particularly hotels and conference centres with sensitive smoke detection, will not permit laser operation indoors regardless of enclosure.

This is the reason we run two processes rather than one. Foil embossing produces no smoke, no odour and no extraction requirement, so it goes into any room without a conversation. If your venue restricts the laser, the activation still happens exactly as planned, with a different finish rather than a cancelled booth. Ask your venue early, tell us what they say, and we will build the table around it.

A vendor running only a laser has to hope the answer is yes. A vendor running only a press cannot offer engraving on wood, steel or glass at all. We would rather bring both and let the venue and the product decide.

We quote every event individually, because the honest answer to "what does this cost" depends on your guest count, your window, what you want made and how much of it. What does not vary is the shape of the quote, so here it is in full before you ask:

Everything is quoted before you commit, itemised, with nothing added afterwards. HST is not included in quoted figures and is added when your order is finalised.

Engraving or embossing? You do not have to choose one

Most live personalization vendors run a single process, which means the process decides what your guests can have. We run both, at the same table, and the finish becomes something your guests pick rather than something they get.

Our flat engraving window is 115mm by 115mm. Larger surfaces and curved items are handled with the rotary attachment. If your item falls outside that, tell us before you book rather than after.

Two more methods, applied in studio before the day

UV printing puts your logo on in full colour, retaining your exact brand colours, which laser and foil cannot do because both mark in a single tone. Sublimation printing covers mugs, photo products and full-surface designs.

Neither runs at the table, but both are how we solve the question corporate clients always ask. We apply your branding in the studio in advance, in colour, and your guest's name goes on live at the event. You get the brand accuracy of print and the theatre of watching it happen, and because only the name is added on the day, the queue moves roughly twice as fast.

Questions we get asked

How many people can you serve?

It depends on the product, how long the personalization is, and whether we apply your logo in advance. Rather than quote you a generic per-hour figure, we model realistic numbers against your actual product, window and expected footfall, and we give you that before you book rather than after. If the number you have in mind is not achievable in the time available, we will say so and show you how to make it work, usually by pre-branding a portion or adding a second station. A stalled queue in front of your guests is worse than a smaller cap.

Can you match our brand colours?

Laser engraving marks the material itself rather than adding colour, so the finish is the natural burn or etch of the substrate. Foil embossing is available in gold, silver and blind deboss. If you need your exact brand colours, we UV print them in the studio in advance and personalize names live on top, which gives you colour accuracy and the live moment at the same time.

Should we choose engraving or embossing?

Engraving suits wood, steel, slate and glass, handles longer text and symbols, works on curved items, and is faster at the table. Embossing suits leather and leatherette, gives a tactile gold, silver or blind impression, reads as quieter and more traditional, and goes into any venue without a ventilation conversation. For a leather keepsake either works and it is a question of look. For anything that is not leather, it is engraving. We bring both, so you can also simply let your guests decide on the day.

Can guests bring their own items to be engraved?

Sometimes, and it needs to be agreed in advance. Unknown materials on an event floor are how you get a scorched item in front of a client. If you want this as part of the activation, tell us at booking and we will define what is acceptable.

Do you do this for weddings?

Yes, and it is one of the better versions of this service. See the per-guest pricing above, which is how we quote wedding and social work.

How long have you been doing this?

Fifteen years. Oruz Gifts has been personalizing gifts since 2011, from a studio we run ourselves in Scarborough. Live events are an extension of production work we do every week, not a separate venture.

Can we take our pieces away on the night?

Yes. That is the point. We engrave while you watch and hand it straight over. We do not use claim tickets or ask guests to collect at the end of the evening.

What happens if something goes wrong on the day?

We bring a spare machine where the booking justifies it, plus backup stock, and we always bring more product than your agreed count. For anything we cannot fix on site, we produce the outstanding pieces in studio and deliver them within two business days at no charge.

A note on colours: every event product comes in a range of colours and we publish a full chart with your proposal. Colours can look different on a screen depending on your display and the light in the room, so we will send physical samples on request before you commit.
